    Position Profile

    The Congress and Events Associate will support the organisation of Jazz's presence at EU ROW congresses.

    Working closely with the Congress and Events Manager, this role includes organising logistics, educational activities, sponsorships and exhibition stands in accordance with the EU ROW congress plan.

    The role will also require close collaboration with the Brand Teams, Compliance, Regional affiliates and Marketing administrator to support Jazz's mission of being a true leader in the field of haematology/oncology.

    Essential Job Functions:

    Job Responsibilities and Requirements:

    Support the planning and implementation of EU ROW congresses and events, including the following activities:

    • Together with the Congress and Events Manager, project manage each event to ensure deadlines are met
    • Lead on all logistical arrangements for congresses including setting and monitoring deadlines to ensure they are met
    • Lead on the creation of events in the Cvent portal and closely monitor each event
    • Speaker management for Jazz International events include travel arrangements,    oversight of contracts and speaker liaison
    • Manage accommodation for Global congresses including sourcing hotels within budget, booking and managing rooming lists
    • Source, cost and book venues for company organised meetings/events
    • Assist with logistical arrangements of Internal events
    • Manage registration of customers and employees for Jazz congresses
    • On-site support and management to ensure event runs smoothly
    • Development of materials such as invitations to Jazz events and customer information     packs.
    • Lead on creation of events apps for internal and external events
    • Work with Marketing administrator to ensure that all legal and financial processes are  completed
    • Organise and manage advisory boards where needed including venue sourcing, all logistical arrangements, oversight of speaker contracts and on-site support.
    • Financial processes - ensure that HCP spend is completed by deadline set by compliance, reconcile event costs and re-charge to Countries as appropriate, reconcile marketing credit card monthly
    • Communicate congress logistics to internal stakeholders during monthly congress updates and where necessary
    • Build strong working relationships with the commercial and brand teams, and medical affairs to ensure the successful implementation of the Congress Plan
    • Plan and attend site visits where necessary to ensure that venues etc. are of a high standard
    • Support with coordination of exhibition stand where needed
    • Organisation of small internal events where necessary

    Required Knowledge, Skills, and Abilities

    • Have or be working towards a degree
    • Excellent organisational skills
    • Ability to manage successfully multiple projects and demands
    • Ability to work well and deliver under pressure
    • Excellent communication skills – written and verbal
    • Excellent interpersonal skills; sensitive to different cultures and backgrounds, must be very tactful and diplomatic
    • Methodical attention to detail.
    • Strong problem solving skills with a hands-on, highly proactive approach.
    • Resourceful with flair for creativity.
    • Must have a “can do” attitude and be able to work autonomously and as part of a team
    • Flexibility in working hours/schedule and being able to travel internationally.
    • Proficient with Microsoft Office and ability to pick up new systems quickly
